Records of the Secretary of State PDF Print

The records of the Nevada Secretary of State constitute one of the largest and most important groups of records in the Nevada State Archives.  The list below describes each record series in general and some records in more detail.  If no detailed list is provided, contact the State Archives for information.

  • Administrative Records of the Secretary of State Office 1864-1995.  Organized by name of Secretary, includes correspondence, reports, policy statements and reorganization materials but does not include official filings.
  • Administrative Procedures (AP)/Nevada Administrative Code (NAC) Files, 1965-2001.  Official filings of regulations into the Nevada Administrative Code.
  •  Appointments, Oaths, and Commissions1864-2002 in several formats; index on cards and online.  Arranged by name of commission or office; indexed by name of appointee or commissioner.
  • Bill Registers, Joint Resolutions, Engrossed Bills, 1865-2005.  In bound volumes and loose documents.  Includes joint resolutions and laws as approved by the individual houses of the Legislature and bills signed by the Governor.

  • Bonds [of public officials], 1864-1993.  Required for state and local government elected officials to guarantee financial accountability.  Not all years or officials.  Files include the bonds of the public officials known as the principal and the documents of their sureties.

  • Census (Nevada), 1870.  Manuscript of enumeration of Nevada population; incomplete.

  • Census (Nevada), 1875.  Manuscript of enumeration of Nevada population; incomplete.

  • Colorado River Commission Contracts and Agreements, 1960-2006.  Legal documents entered into by the Commission and filed with the Secretary of State’s office.

  • Contracts, Agreements, Deeds, and Abstracts, 1856-2000.  Legal contracts and agreements between the State of Nevada, local governments or jurisdictions, or private individuals.  May include land transactions or service performed for the State.

  •  Corporations, 1865-1956, bulk 1865-1930.  These files may include certificate of incorporation, bylaws, bylaws amendments, certificate of dissolution, annual lists of officers, statement naming resident agent, and certificate of incorporation from another state.  Certificates of dissolution are rare; mostly commonly the files contain only the bylaws and lists of officers.  These files contain no other business records or information about owners/stockholders.  Index online.  All of the file in the State Archives are for defunct corporations.
  •  Correspondence.  In bound volumes and loose documents, this series includes letters to and from the Secretary of State related to his official duties.
  •  Election Records
  • Examiners, Board of, 18__ - 2005.  Meeting materials of the Secretary of State as a member of the Board, and audit reports of the Examiners.  Other Board of Examiners materials may be found in the records of individual governors.  The official records of the Board of Examiners are located with the Department of Administration.
  • Executive Proceeding and Records, 1864-1973.  Record of official filings such as oaths, cash received or claims paid, certificates issued, lists (such as counties entitled to receive copy of laws), and lists of commissioners of deeds and notaries public.
  •  Extraditions, 1923-2005.  Records of requests for transfer of prisoners to or from Nevada.
  • General Files, general administrative records created in the Secretary of State's office.
  • Financial Records.  1864- Miscellaneous cash books, expense ledgers, stationary accounts, daily journals, receipts for fees, etc.
  • Land Patents, 1865-2006.  Some indexes.  Official copy; other copies were filed with the Nevada State Land Office and are now in the Nevada State Archives.   Index online as part of the Nevada State Lands website.
  • Marriages, 1967-2001.  Certificates authorizing ministers to perform marriages in Nevada.
  • Mortgages, Chattel, Motor Vehicle Dept.  1945-1954. Register of loans to purchase automobiles.  Includes names of borrowers and lenders, description of car, and dates.
  • Mortgages Filed, 1923-1933.  Record of chattel mortgages, usually for livestock.
  • Motor Vehicle Registrations, 1913-1925.  7 vols.  Each entry contains name of owner, date of registration and expiration, and details of the vehicle being registered.  Bound volumes, arranged chronologically; no index.
  • Notaries Public, 1899-2001.  Applications to become notaries public, arranged by year, county, and filing date.
  • Nye County Commission Records, 1865-1929.
  • Petitions, Referendum and Initiative, 1912-2006.  Arranged by date. Later files sometimes include language of the proposed ballot issue and signatures.  Files from the 1990s forward may include documentation about originator, correspondence to and from county clerks, and signature count analysis. 
  • Precinct Maps and Correspondence, 1990-1999.  Filed with the Secretary of State by county clerks, these maps provide legal descriptions of precincts.
  • Press Releases [of Secretary of State] and Clippings, 1987-1991.
  • Prison Board Investigation, 1921, directed at the Superintendent of the Nevada State Prison.
  • Prison Board Meeting Materials, including Minutes, 1970-1985.  Meeting materials of the Secretary of State as a member of the State Prison Board.  The files of individual governors also include Prison Board material as well as the Department of Corrections.  The official records of the Board are located with the Department of Corrections.
  • Proclamations, 1864-2000.  Official copy of proclamations issued by governors.  Not complete.  Copies of proclamations may also be found in the records of individual governors.
  • Soil Conservation District Petitions, Applications, and Certificates, 1937-1969.  Requests to form soil conservation districts and certificates for creation of districts.
  • Statute Registers, n.d.  2 vols.  Lists of state statutes to be distributed to public officials and designated individuals in local courts and government.
  • Tahoe Regional Planning Agency (TRPA) and Lake Tahoe Area Council, 1959-2003.  Includes contracts, meeting materials, and correspondence of the Secretary of State as a member of the TRPA Board.
  • Trademarks, 1868-1969; Trademark Applications, 1947-1978; Trademark Applications - Expired, 1994-1995.  Formats for trademarks include bound volumes and loose documents.  Applications usually included a sample of the trademark being registered.  Arranged chronologically.
  • Uniform Commercial Codes Files, 1967-2001.  Records of financial transactions of transmitting utilities.
  • Voter Registration Records, 1898-1956.  Arranged by date and by county; not all counties, not all dates.  These records were transmitted to the Secretary of State by county officials.
